Welcome to the ATP Membership application (https://atpmembers.app). This Privacy Policy explains how The Association for the Teaching of Psychology ("The ATP", "we", "us", or "our") collects, uses, and protects your personal information when you use our membership management platform.

Please note that this policy applies specifically to the membership application. For privacy practices regarding our main website (theatp.uk), please refer to the policies provided there.

1. Information We Collect

When you register for an account, purchase a membership, or use our platform, we collect the following types of information:

  • Profile and Contact Information: Your first and last name, email address, telephone number, institution, region, and postal address. If someone else is paying for your membership, we may also collect the payer's name and email address.
  • Membership Details: Your membership ID, type (Full or Student), status, and any administrative notes added by our team (which are kept internal).
  • Payment Information: Payment dates, amounts, and payment methods. We do not store your credit card numbers. Payment processing is handled securely by third-party providers (Stripe and PayPal). We only store necessary transaction identifiers (like Stripe customer or subscription IDs) to maintain your membership status.
  • System and Usage Logs: We log your login times, the date you were last seen on the platform, and certain navigation clicks to ensure the site runs smoothly.
  • Temporary Technical Data: We temporarily use your IP address to prevent spam and manage rate limits on our forms. This data is kept in server memory and is not saved to our database.

2. How We Use Your Information

We use your data to provide and improve your membership experience, specifically to:

  • Manage your ATP membership, including processing payments and renewals.
  • Provide access to member-only resources, such as the document library and noticeboard.
  • Send you essential operational emails, such as sign-in links, welcome emails, renewal reminders, and direct administrative messages.
  • Send bulk newsletters and updates via email, provided you have opted in by keeping the "Email Signup" box ticked on your profile.

3. How We Share Your Data (Third-Party Processors)

To run our application effectively, we share necessary data with trusted third-party service providers. We do not sell your data. Our processors include:

  • Supabase: Hosts our database and securely manages your authentication (passwords and sign-in links).
  • Stripe & PayPal: Processes your membership payments securely.
  • Brevo: Manages our email mailing list. If you have opted into "Email Signup", your name, email, and member ID are shared with Brevo to send you newsletters.
  • Google Places API: Helps auto-complete your address during registration. (Session tokens for this are temporary and not stored).
  • Google Gemini API & Gmail: We use Google's automated tools to organize our administrative mailbox and classify payment or cancellation emails.
  • Apple/iCloud: Used to route some of our automated transactional emails.

4. Cookies and Tracking

We respect your privacy and keep tracking to a minimum:

  • No Ads or Analytics: We do not use third-party advertising or analytics trackers on this platform.
  • Essential Cookies Only: We use authentication cookies set by Supabase to keep you securely logged in, and one temporary cookie (atp_signup) that lasts for 14 days strictly to manage the payment checkout process.

5. Your Rights and Choices

  • Updating Your Profile: You can update your address, telephone number, and email newsletter preferences at any time by logging into your account.
  • Account Changes: To change your core details (like your name, account email, or institution), please contact our admin team.
  • Data Access and Deletion: Currently, our platform does not feature an automated button to delete your account or download your data. If you wish to request a full export of your data or have your account permanently deleted, please email us directly.
